Disposition of Records
Records are maintained and retained following guidelines of the Virginia Public Records Act issued by the Library of Virginia. As prescribed in those guidelines, records are destroyed five years after the student graduates or leaves the school district pre July 1, 2024 and seven years after the student graduates or leaves the school district post July 1, 2024. However, some academic and health information while in the school district will be retained for 75 years—according to the Records Retention and Disposition Schedule issued by the Library of Virginia.
Individualized Education Plans and certain other records related to the education of students with disabilities must be maintained for five years following graduation, completion of a program, or withdrawal from Frederick County Public Schools pre July 1, 2024 and seven years following graduation, completion of a program, or withdrawal from Frederick County Public Schools post July 1, 2024. Such scholastic records may be needed by the parent or eligible student for social security benefits or other purposes. Requests for copies of such records must be made during the five-year period pre July 1, 2024 separation from the school district and seven years post July 1, 2024 separation from the school district. Requests should be directed to the last school attended.
